Last updated: 27 October 2026. This notice covers the instant quote journey, not the separate blog advertising, analytics, chat or GarageInvoice forms.
Who handles your information
The sole trader operating as Carbon Clean Co is responsible for your personal information and uses your information to provide vehicle-service estimates and respond to appointment enquiries. Contact us through our contact page with privacy questions or requests.
Information used for your quote
We use your registration, vehicle details, selected service and postcode to calculate an estimate. Your registration is sent to DVSA to retrieve make, model, manufacture year, fuel type, engine size and colour where available. The API may return MOT history, but this quote plugin does not retain it. We send your postcode and our base postcode to Google Maps to calculate driving distance. We do not send your name, phone number or email to DVSA or Google for these checks.
If you request an appointment, we collect your first and last name, phone number, email address and any optional notes. Your enquiry and quote details are stored in our WordPress database and emailed to our business inbox. Any corrections you make to DVSA details are flagged for review. Please do not include sensitive personal information in the notes.
Why we use it
We process quote and enquiry information to take steps at your request before entering a service contract. We also use technical request information for our legitimate interest in protecting the form from spam, misuse and excessive API requests. The server uses an IP-derived identifier for short-lived request limits. Hosting and email providers may keep separate security logs.
The estimate is calculated from service prices, vehicle adjustments, driving distance and rounding settings. It does not confirm an appointment or take a payment. We review suitability, work required and availability before booking. You can contact us directly instead of using the online form.
Who receives information
Recipients include DVSA for vehicle lookup, Google Maps for postcode routing, and OVHcloud for website hosting and business email. WordPress enquiry access is restricted to site administrators. Google may process routing information internationally, including in the United States. Its published safeguards include adequacy mechanisms, the UK Extension to the EU-US Data Privacy Framework and contractual safeguards where applicable; see Google’s data-transfer information and privacy policy. OVHcloud describes its hosting locations and contractual protections in its data-protection information. Contact us for further information about the providers and safeguards relevant to your enquiry.
How long we keep it
Temporary vehicle lookup and quote records expire after 30 minutes; expired database entries may remain until scheduled cleanup. Registration transfer between the launcher and quote page uses browser session storage, is removed when read, and is accepted for up to five minutes. Enquiries that do not become bookings are kept for up to six months from submission, then reviewed and removed from WordPress and the business mailbox. If an enquiry becomes a booking, necessary job and invoice records are retained for applicable accounting obligations and to deal with warranty matters or legal claims. Backup copies are not used for routine enquiries and expire under the hosting backup cycle. Provider security logs follow their own retention policies. Deletion is managed manually, not automatically by this plugin.
Your rights
Depending on the circumstances, you can ask to access or correct your personal information, have it erased, restrict its use or receive a portable copy. You can object to processing based on legitimate interests. Contact Carbon Clean Co to make a request. You can also complain to the Information Commissioner’s Office.
